Salary: USD 550 before taxation
Main duties and responsibilities include:
1. Administration
1.1. Assist Finance/HR/Admin department for preparing administrative letters by request at field level;
1.2. Assist Finance/HR/Admin department in order to make sure that all Admin FLAT procedures are implemented and following regularly in the field;
1.3. Update the Premises follow up table, update premise contracts, follow their payments with finance.
1.4 Ensure the external contacts database is updated and shared as needed
2. Filing and Reporting
2.1. Physical and electronic filing (scanning) of HR, Administration and logistics documentation in line with ACTED procedures.
2.2. Contribute to monthly internal reporting
3. Documentation management
3.1. Prepare and update the external agreements for the field (sub)offices.
3.2 Ensure the relevant documentation (receipts, acts of acceptance, signed agreements, mission leaves, attendance sheets etc.) is sent or received as required.
4. Financial support
4.1. Ensure the reporting for the expenditures is conducted properly and in-time.
4.2 Contribute in update the Running Costs follow-up tool and conduct market surveys upon request.
4.3 Contribute in a cost analysis of the mission to support the decision making process.
4.3 Provide support to ACTED Senior Finance and Administrative Manager
5. Any other tasks assigned by line manager
Requirements:
Experience in administrative and finance role.
