For our sales department based in Kiev we are looking for an:

Support Administrative Assistant

Your Responsibilities:

The purpose of this position is to support the commercial department by providing general administrative support

Your essential functions will be the following:

To manage all secretarial and administrative work. Deal with incoming correspondence: both hard copy and email, & calls, independently, autonomously or according to instructions

To organize and maintain filing

To follow-up pending issues and projects and help managers and their teams in work flows and deadlines

To organize travels: booking airlines tickets, rental vehicles or ground transportation and hotel accommodations. Assist in applying for visas for managers and team members.

To organize meetings, setting agenda topics as well as specific meetings, video, webex and telephone conferences up on request.

To follow-up, collect and organize data. Be able to draft any kind of request from supervisor in order to collect precise and concise data

To assist on various presentations

To arrange and follow-up payments of invoices

Your Education:

Bachelor and up degree or equivalent, commercial/language background

Your Experience:

Minimum 2 years as an assistant/secretary

Specific knowledge, skills, abilities required:

Fluent in English

Strong verbal and written communication skills and ability to interact comfortably with individuals at all levels

Advanced computer skills in MS Office (Word, Excel, Power Point), electronic calendar and mail software (Outlook)

Proven administrative skills and ability to prioritise manage and complete a variety of tasks at times in periods of high pressure
